Key Responsibilities:
- Demonstrate a commitment to Marie Stopes's mission, vision, and objectives.
- Implement and monitor administrative, procurement, and financial guidelines as outlined by MSIA.
- Process all vouchers and claim forms for clinic purchases in accordance with procurement rules.
- Maintain financial and administrative records for MSIA, including summary reports on provincial activities.
- Monitor clinic staff attendance and ensure timely submission of records to the Head Office (HO).
- Oversee recruitment processes, including job postings, CV collection, test/interview coordination with HR, and submission of recruitment packages for new clinic staff to HO.
- Manage staff travel arrangements and logistics for air and ground missions.
- Maintain inventory lists and manage housekeeping for guesthouses.
- Attend monthly and other required meetings, coordinating with the Provincial Coordinator (PC).
- Verify and finalize clinic income reports and ensure timely submission to the Head Office Finance (HOFF).
- Submit monthly pharmacy and laboratory reports to HO and coordinate medical supplies for clinics.
- Update the administrative filing system, ensuring confidentiality for employee information and documents.
- Conduct orientations for new staff on MSIA rules and regulations.
- Ensure adherence to financial procedures and MSIA policies.
- Provide regular progress reports on admin and finance activities to the line manager.
- Support PC by performing additional tasks as assigned.
- Distribute salaries when necessary.
- Oversee and maintain transportation facilities at the provincial or field level.
- Manage MSIA guesthouses and ensure office facilities are updated and functional.

Job Requirements
Education:
- Bachelor’s degree in Business Administration or related fields.
Experience:
- 1–3 years of relevant experience with national or international organizations (NGO experience is desirable).
Skills:
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Strong analytical and problem-solving skills.
- Effective verbal and written communication skills, including public presentations.
- Ability to collaborate and work well in team environments.
- Capability to meet deadlines in results-oriented settings.
- Strong people management, strategic planning, and organizational skills.
- Multitasking and prioritization abilities.
