Job Overview:

 

The Logistics Officer is tasked with managing logistics and supply chain activities at RHDO, covering procurement, transportation, storage, and distribution. The position ensures efficient and timely logistics support for all RHDO projects.

 

Key Duties:

 

1. Procurement & Supply Chain Management:

  - Handle procurement of goods, equipment, and services, following RHDO policies and donor guidelines.

  - Keep records of purchase requests, quotations, orders, and supplier contracts.

  - Coordinate with suppliers to negotiate terms and ensure prompt delivery.

  - Maintain proper documentation for the procurement process, such as contracts and invoices.

 

2. Inventory & Warehouse Management:

  - Oversee inventory management, ensuring items are stored correctly and securely.

  - Maintain up-to-date inventory records, tracking all incoming and outgoing goods.

  - Perform regular physical stock checks and reconcile them with the inventory system.

 

3. Transportation & Distribution:

  - Organize transportation for goods and staff across various project locations.

  - Develop and execute plans for delivering supplies to field offices.

  - Adhere to safety and security protocols during the transport of goods and personnel.

 

4. Asset Management:

  - Manage RHDO assets, such as vehicles and equipment, ensuring proper maintenance and tracking.

  - Conduct asset audits and report any damage or loss.

  - Dispose of outdated or damaged assets in line with RHDO policies.

 

5. 

Compliance & Documentation:

 

  - Ensure logistics activities comply with RHDO standards, donor requirements, and legal regulations.

  - Maintain detailed records of all logistics activities and prepare regular reports for management.

  - Properly file and archive all procurement and logistics documents.

 

6. 

Team Collaboration:

 

  - Work closely with program, finance, and admin teams to support project operations.

  - Coordinate with field offices to address logistical issues.

  - Train logistics assistants and support staff on RHDO procedures.

 

7. 

Budgeting & Cost Control:

 

  - Monitor logistics and transportation budgets, ensuring expenditures stay within the approved limits.

  - Identify and report cost-saving opportunities to management.

 

 

Qualifications & Requirements:

 

 

Education:

 Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.

Experience:

 At least 3 years in logistics, procurement, or supply chain management, ideally within an NGO or humanitarian organization.

 

 

Skills:

 

- Excellent organizational and time management skills.

- Strong communication and negotiation skills.

- Proficiency in Microsoft Office (Word, Excel, PowerPoint).

- Familiarity with inventory and procurement systems is an advantage.

 

 

Languages:  Proficiency in English, Dari, and/or Pashto.

 

Additional Requirements:

- Ability to manage multiple tasks and work under pressure.

- Knowledge of logistics procedures, customs regulations, and safety standards.

- Willingness to travel to project sites.

 

Performance Measures:

- Efficient and cost-effective procurement and transportation.

- Accuracy in logistics documentation and reporting.

- Proper inventory and asset management.

- Adherence to RHDO policies and donor guidelines.
