Job Description:
Introduction:
The Reporting and Liaison Officer will work under the guidance of the Executive Director and Program Manager, coordinating closely with Project Managers, Coordinators, Supervisors, and Monitoring and Evaluation Officers.
Main Responsibilities:
- Develop suitable reporting formats and data collection templates to fulfill all project reporting requirements.
- Ensure reporting templates are used correctly by the team and follow up as needed.
- Establish a reporting schedule and ensure reports are submitted on time.
- Closely monitor six-month reports for the Ministry of Economy and ensure timely submission.
- Register UA projects with the Ministry of Economy and manage follow-up.
- Compile and analyze progress reports from project teams and submit them to the Executive Director and Program Manager.
- Lead the preparation and finalization of various documents and reports, including interim, final, and quarterly progress reports, situation reports, and briefing materials for donors, government, and other entities, in coordination with project teams.
- Ensure that reports meet donor requirements, align with the results framework, and are systematized.
- Support project teams in addressing donor recommendations and reporting needs.
- Analyze project progress data, identify gaps, and inform project teams.
- Facilitate effective communication within the organization, ensuring information is shared accurately.
- Maintain an organized filing system for project reports and documentation.
- Liaise with project teams to gather information needed for reports.
- Periodically review reporting and documentation for risk management and compliance with partnership agreements and memorandums of understanding (MoU).
- Coordinate internal and external meetings, including organizing, minute-taking, and follow-up actions.
- Provide updates on project progress and address any emerging issues.
- Build and maintain strong relationships, acting as a contact point and facilitating collaboration.
- Coordinate final donor reporting with Union Aid's senior management.
- Communicate with NGOs, INGOs, UN agencies, government, and other stakeholders regarding report dissemination and information accuracy.
- Alert the Executive Director, Program Manager, and project teams of any project-related issues that may impact reporting.
- Take minutes at UA meetings and share them with relevant management and departments.
- Draft briefing notes, talking points, and other project-related correspondence for management.
- Maintain strong relationships with stakeholders and ensure smooth project implementation.
- Assist program departments in enhancing internal reporting processes.
- Track reporting requirements and submission schedules for the project.
- Support staff capacity development in reporting and documentation processes.
- Perform any additional tasks assigned by the line manager.

Job Requirements:
- Bachelor's degree or higher in Social Science, Project Management, or a related field.
- At least three years of experience in project implementation, reporting, documentation, and needs assessment in the development sector.
- Fluency in verbal and written English and Dari/Pashto.
- Strong verbal and written communication skills.
- Ability to establish and maintain beneficial organizational relationships.
- Self-motivated, with the ability to take initiative and solve complex problems.
- Capable of negotiating and influencing others.
- Analytical skills to assess data and create reports.
