Job Description:
The Pharmacist Assistant shall ensure the Inventory Management System (IMS) is updated timely and accurately including physical inventory, stock requests, inbound and outbound as well as all medical supplies related information are registered properly and accurately in the system. ensure the overall functioning of the INTERSOS Pharmacies at central and field (project level), securing an adequate and timely supply of quality health consumables, equipment and medicines to the projects.
The pharmacist assistant must ensure proper pharmaceutical management (storage, distribution, inventory, consumption, and data management) for supported health structures and support INTERSOS plan to digitalize health interventions.
Ensures IMS articles are updated before creating PO, deactivate unusable items and follow up on authorization and verification process for all stock requests and inbound-outbound movement.
All these duties according to Mission pharmacist/Pharmacy manager instructions in line with INTERSOS guidelines and considering national and international laws and regulations.
Responsibilities and tasks:
APPROPRIATE MANAGEMENT AND DISTRIBUTION:
Stock Management (IMS): Fully manage IMS in all its aspects and be held accountable for every matter regarding it. Ensure that IMS reports are up to date.
Data Entry: Ensure all data are entered to IMS and up to date,
Reception from Suppliers/Central Pharmacy: Receive, perform the inventory and sign documentation regarding the reception of items from Central Pharmacies as well as track all the movement until the dispensing;
DATA ANALYSIS AND COLLECTION
Data: Be able to provide at any given time reliable information on stock, consumption, use of medicines and health products for each project.
Analyse: analyse consumption data and cross check with type of activity and project.
Documentation: Maintain the hard data documentation of all information of the consumables, equipment and medicines, ensure order reception by verifying and recording the quantity and quality of the drugs/medical materials/equipment received
Soft Data Collection: Receive and organize all the soft data, related to the consumption, distribution, inventory on Excel databases and IMS; ensure IMS updated before any stock movement.
OTHER PHARMACY MANAGEMENT
Good Storage Practices: Ensure that the pharmacy stock is maintained according to good storage practices.
Expiration Monitoring: Ensure that expired or damaged items are properly put in quarantine and ensure their effective destruction.
Inventory: Perform inventory and support random checking of the stock by medical coordinator or mission pharmacist. In case of discrepancies between physical inventory and theoretical stock, investigate and inform the Pharmacy Expert;
Monitoring: Monitor the stock conditions and consumption of supported health facilities;
REPORTING
Backup: Make a monthly backup of the database from the pharmacy and share with the Pharmacy Expert. Also make a monthly backup of the professional computer hard drive on the provided external hard drive;
Documentation: Ensure the proper classification and documentation of the archives and relevant paperwork;
Meeting: Participate on the meetings from the Base and Pharmaceutical Teams, as well as meetings that you are requested to join, under the supervision of the Pharmacy Expert;
Monthly Report: Prepare and share with the Pharmacy Expert monthly Situation Report following the guidelines;
OTHER
Training: Participate and provide trainings by/for INTERSOS, other organizations;
Pharmaceutical Data: Share information about and from the pharmacy with the supervision of the Pharmacy Expert when requested by different INTERSOS staff;
Security: Watch and report any issues related to gap/loss/robbery/damage of consumables, documents, equipment and medicines, as well as any relevant security issue to the Mission Pharmacist.
Job Requirements:
Language skills
Mandatory: English, Pashto, Dari
Education degree
Mandatory: Pharmaceutical Sciences/Pharmacy Degree.
Work experience
Minimum (1) year of working experience in a hospital/health facility set-up or relevant position.
Humanitarian: Experience with Internally Displace People, volunteering on humanitarian activities and projects;
Technical: Previous position in pharmaceutical management, such as community pharmacy, primary health care center, health and/or pharmaceutical supplier, pharmaceutical industry logistics;
Knowledge and skills
Communication Skills: Fluent reading, speaking and writing in English for all the platforms in the mission and with partners;
Project Management: Skillful on planning, executing, documenting, monitoring and controlling the different steps of the pharmaceutical tasks;
Commitment to INTERSOS principles.
Comply with all relevant INTERSOS policies and procedures.
Ability and willingness to travel to project sites as needed.
Computer skills
