Job Summary
Under the direct supervision of the Administrative Officer and Finance and Budget Officer, the Junior Finance Assistant will perform various tasks related to financial operations, as outlined below:
Duties & Responsibilities
- Assist with the review, monitoring, tracking, and analysis of system transactions on a daily basis, making necessary corrections when required.
- Maintain and process project-related information in Umoja.
- Help review and reconcile various clearing accounts to ensure correct balances, investigating and correcting erroneous or invalid entries.
- Create necessary obligation documents for contracts, travel, etc., and prepare payment and expenditure reports while following up as needed.
- Manage the obligation of funds in UMOJA, such as creating shopping carts, POs, low-value POs, pre-commitments, and commitments, and digitizing all obligation documents.
- Ensure proper maintenance and timely closure of obligations that are no longer needed.
- Oversee the quality control and tracking of payments for field office rents.
- Monitor and track payments related to field rental vehicles.
- Assist with processing payments to local vendors for goods and services, ensuring correctness and communicating discrepancies to the supervisor.
- Help process payments to staff members for entitlements, including salaries, claims, and allowances.
- Follow up with various offices to obtain approval for documents created in the system.
- Coordinate with other finance staff and respond to inquiries regarding financial matters.
- Assist the Human Resources section during the recruitment process.
- Ensure proper filing of project documents, budget revisions, and invoices, both electronically and in physical format.
- Perform other duties as assigned.

Qualifications
- Education and Experience: High school certificate with two years of work experience in administration and finance.
- Language: Basic proficiency in English, along with speaking and writing in local languages, is required.
