Job Summary:
Union Aid is looking for a skilled
Admin Logistics Assistant
to support the planning, organizing, implementation, and monitoring of procurement processes, commodity transportation, and warehousing. Reporting directly to the Admin and Logistics Officer, the role includes overseeing the receipt of reports and documentation on the status and disposition of food and non-food items (FIs and NFIs) from origin to end use, alongside other logistics-related tasks.

Logistics Responsibilities:
- Adhere to Union Aid's procurement policies and procedures for the timely purchase of food, non-food items, equipment, and materials.
- Procure requested items promptly in collaboration with the Admin and Logistics Officer, purchasing committee, and procurement committee.
- Coordinate with the purchasing committee to obtain price quotations for local procurements.
- Provide the purchasing committee with detailed information about quotations and item quality.
- Regularly review market trends for price changes and improvements in the quality or availability of goods.
- Ensure proper documentation and reporting for all procurement processes.
- Perform additional duties as assigned by the supervisor.
- Schedule meetings, coordinate appointments, and arrange conference rooms for program/project staff.
- Assist with booking hotels, airline reservations, and local travel for head office and project staff.
- Maintain a well-organized filing system for office and project documents in line with Union Aid policies.
- Draft reports and correspondence as required.
- Monitor and update the asset register for the base, ensuring effective tracking of all assets.
- Maintain an up-to-date inventory list and assign assets to staff, ensuring proper documentation with signatures.

Administrative Responsibilities:
- Schedule and coordinate meetings, appointments, and conference room bookings for staff.
- Assist in arranging travel and accommodation for both head office and project staff.
- Ensure project and office documents are filed systematically and comply with Union Aid policies.
- Draft correspondence and reports as needed.
- Carry out other related tasks as assigned by the supervisor or manager.

Job Requirements:
- Education: Bachelor’s degree in Business Administration or Economics.
- Experience: At least two years of relevant experience working with local or international NGOs.
- Language Skills:Proficiency in English, Persian, and Pashto.
- Interpersonal Skills: Strong relationship-building and communication abilities.
