Position: Finance Officer

 

Job Description:

The Finance Officer will work under the direct supervision of the Regional Finance Supervisor, handling tasks such as voucher preparation, advancing funds to employees, maintaining a proper filing system, reconciling advances, cash counts, and recording all cash transactions.

 

Key Responsibilities and Duties:

 

- Record expenses in the cash register, verify expense reports, and ensure closing cash balance matches the cash count.

- Review all bills and invoices, prepare vouchers within two days (ensuring all supporting documents are attached), and obtain necessary approvals and signatures.

- Prepare summary allocations and translate invoices, quotations, and other supporting documents.

- Scan vouchers weekly and monthly.

- Process daily payments and deduct taxes, ensuring timely tax submission to the government.

- Issue and reconcile advances to employees for official purposes.

- Complete monthly bank reconciliations.

- Work with the administration department to obtain quotations as needed.

- Conduct weekly cash counts, ensuring accurate records are maintained.

- Ensure all cash in the safe matches the cashbook and is ready for surprise audits.

- Accurately document entries in the cashbook with the correct budget lines.

- Obtain approval from the finance head for all payments before processing.

- Prepare bank transfer letters, ensuring all information matches supplier or admin-provided details.

- Travel to field sites to manage expenses related to mitigation projects or program costs.

- Perform any additional duties assigned by the line manager.

 

Job Requirements:

 

- Education: University degree or diploma in accounting, finance, business administration, or related fields.

- Experience:Mi nimum of 2 years in finance and accounting.

- Skills:

 - Proficient in English and local languages (speaking, reading, and writing).

 - Advanced skills in Excel, Word, and knowledge of financial software (QuickBooks, ERP) are advantageous.

 - Adaptability, positive attitude, resilience under pressure, and a strong commitment to the role.

 - Strong communication and interpersonal skills, with the ability to work in a diverse and professional environment.
